Set Up and Tear Down

The Trade Show will be held in the Celebrity Ballroom on the main floor of the Westin Mission Hills. All breakfasts and breaks, as well as Saturday's lunch and the special vendor interaction session, will be held in this area.

You will have access to the trade show area after 5 p.m. Wednesday, April 23, 2008 to set up your booth. Your registration materials will be delivered to your assigned table as well as all your shipped packages. You will be responsible for setting up your display and for taking possession of any valuable merchandise or equipment.

You must set up in your assigned spot. If you move to another location, you will be asked to move back to your assigned spot. Please make sure you know where you are assigned. If you are unsure, click here to download the trade show layout.

Valuable merchandise and/or equipment should not be stored overnight in the trade show area. Laptops, projectors and other electronics should be stored in your sleeping room overnight as the hotel and AFCP cannot be held liable for any missing merchandise or equipment.

The conference opens with a special time for attendees to visit with Trade Show Sponsors. Groups will visit your booth for a six-minute session and then rotate to the next booth. (See the Marketing Opportunities page for more information). You will want to make sure that you have your booth organized in time for this important event. Often, this event sets the stage for your entire trade show marketing. Make it a great start!

We will introduce all sponsors at the beginning of this special interaction time. This will simply be an announcement over the sound system and a chance for all participants to match names, faces and companies. We will have extended introductions as listed in the vendor brochure throughout the conference.
 
We will have a special sponsor meeting at 1:30 pm Thursday with Elaine Nelson and Karen Sawicz to discuss problems, comments, and ideas. We hope that any issue that comes up during the day or that you can foresee being a problem throughout the trade show can be rectified immediately. This meeting will last about a half hour.

The conference will host afternoon breaks in the trade show area Thursday and Friday. However, no afternoon break will be hosted on Saturday. So, you can begin tearing down your display after the lunch rush on Saturday. Saturday's lunch will be held in the trade show area.

In all cases, you must be out of the trade show area by 4 p.m. The hotel staff can assist in shipping your booth and equipment to your office. Please see the shipping page for rates and information.
